Terms of Service

Use of the service
ClinicPilot is licensed to clinics and their authorized staff for use in clinical documentation, coding, and revenue cycle workflows. The service assists — but does not replace — licensed clinical judgment. Providers remain responsible for their notes, their codes, and their care decisions.
Data ownership
Customers retain all rights to their clinical data, including charts, notes, attachments, and billing records. ClinicPilot retains only rights to aggregated, de-identified metrics used to improve the service. A full export in FHIR format is available at any time from the admin console.
Fees and cancellation
Subscriptions are billed monthly or annually, at the customer's option. New customers may cancel within the first 60 days for a full refund. After that, cancellations take effect at the end of the current billing period — no termination fees, no data ransoming.
